Projects Module
Overview
The Projects Module handles all major jobs that are
classified as projects. The module handles the job from
initial intake, through estimating, approvals, materials ordering,
scheduling, and work accomplishment. Reports provide
information all through the process for management, supervisors, and
historical analysis.
Those persons authorized to access the system may
query the system for the status of any work request.
WorkLineTM
handles the tracking,
classification, and documentation for Work Level II and III.
WorkLine also handles the appropriate costing, tracking, and documentation
of Davis Bacon work.
Each project stores a rich assortment of data. The data is
accessed through screens that match the phases of the job. The
phases are:
The General Information portion of the Project Module contains a
rich assortment of information including the project name and
number, it's status and priority, and a description of work.
It also shows the facility and location within the facility, the
lead shop, requestor information, estimator information, and other
specific details about the work. It includes the Basic Plan,
and whether work is done by staff employees or contractors. Detailed funding information is
tracked.
The Estimate Summary displays four columns of data about project
costs. First, a Preliminary Scope Estimate is displayed.
The next column shows a summary of the unposted detailed estimate. The
third column shows the amount of the estimate in the Work Plan that
has been posted from the estimate. The final column shows the
actual costs expended as of the moment the screen is entered..
In addition to labor, equipment, contractor, and material costs, the
screen shows contingency allowances, costs for G & A, and
contractor fees.
The Estimate is integrated with the R. S. Means database.
It draws data from the Means database. The estimator
designates which shop will do each line-item in the estimate,
applies the proper estimated quantities, and WorkLineTM
extends the
line out. G & A, and other variable costs are applied from
values stored with the estimate. Where absent, the values are
drawn from defaults set in the control file. Unlimited
estimate lines can be loaded into each project.
The Work Plan is developed by the planner or estimator, once the
estimate has been approved. The Work Plan is created by
WorkLineTM
directly from the estimate. Detailed "Work Plan
Elements" are created for each phase of the work for each
shop. Detail lines are attached to each plan phase showing the
labor, equipment, and materials to be used on the job. When
the plan is approved, the estimator automatically generates work orders
from these "lines", for each shop. A Bill of
Materials is created for each job. After the elements are
marked indicating those lines to be drawn from inventory, purchase requisitions
are automatically created for the remaining items.
Upon approval of the Work Plan, the system automatically generates
work orders for each shop, for each phase. The Work Analysis
component of the WorkLineTM
Projects Module allows system users to
view the progress and status of the underlying work orders for the
project as the work progresses on a day-to-day basis.
Notes allows the estimator to store up to 99 pages of notes about
each project. The notes include a mini-word processor with
many tools for editing. The tools include spell checking, cut
and paste, line wrap, and string searches.
The On-Line Journal contains a routing slip that identifies the people
to whom the job must go for approvals. It also stores
approvals by various parties that act on the job as it is circulated
electronically. Finally, it automatically stores each change
in the status of the project as it moves along through the process,
from new entry to work completions.
