Vehicle Maintenance Repair Module

Overview

The Vehicle Maintenance Repair Module (VMR) manages the maintenance program for a wide variety of mobile equipment including, but not limited to:

Passenger Vehicles

Buses

Trucks and Heavy Equipment

Material Handling Equipment

Grounds Keeping Equipment Such as Mowers and Snow Blowers

Snow Plows and Tractors

Mobile Generator Sets

Electric Motorized Personnel Vehicles Such as Golf Carts

Construction and Earthmoving Equipment

Other Motorized, Mobile Equipment

VMR provides for a variety of vehicle ownership including such variations as company owned, government owned, contractor owned, agency owned, leased, rented, owner-operated, and personal vehicles.

VMR supports multiple shops, permitting service to be performed by specialists.  These include body shops, mechanics, electronics, locksmiths, and any other specialists within the agency.  All requests for service are entered by any operator with authorization or access to the VMR module.  Service Repair Orders (SRO) are created in the module and tracked through to completion.

Mechanics are able to call up the next job on a terminal in the shop, change the status to "Work-In-Progress" and print the SRO.  The assigned mechanic's employee number is entered to show who is doing the work along with the garage code of where the work is being done.  SRO are maintained on-line, in real time, available for viewing and updating simultaneously through data entry.

When a job is waiting for parts and parts are not available but the vehicle is still usable, VMR permits the vehicle to be placed back in service without losing track of the job and the vehicle.  When those parts come in, the vehicle is recalled for completion of the service.

SRO can be integrated with industry-standard databases such as Chilton.  These databases can automatically update the SRO with selected elements allowing industry standard data to be used to estimate a job.  VMR permits labor costs and billing rates to be accumulated from either the estimate or from the actual labor expended.  Parts cost and billing rates come from materials actually consumed.

VMR permits "Quick Fix" jobs (i.e. fix a flat, replace a belt or headlamp).  These jobs allow a mechanic to interrupt a regular job, perform the Quick Fix, then return to complete the regular job.

Scheduled vehicle service can be based on the calendar, on mileage, or on hours of service.  Descriptions of service levels are stored in a database attached to the vehicle file.  This database automatically populates the VMR SRO description when the service is scheduled.

Predictive Testing and Inspection (PT&I) services are provided for through the vehicle service database.  This handles such tasks as oil sampling, computer analysis, and exhaust analysis.  These service requirements are generated with the same technology described above for the scheduled service.  Historic data of results is stored, permitting on-line evaluation and trend analysis.

Those persons authorized to access the system may query the system for the status of any work request and, where authorized, for reports.

When a vehicle is involved in an accident, VMR provides an integrated program used to prepare an Estimated Cost of Damage (ECOD).  The owning agency decides whether to repair the vehicle.  The ECOD, and the associated estimating work, is closed out.  If the owning agency decides to proceed with the work, a new SRO shall be generated to perform the work.  The ECOD SRO is attached to the new SRO as a referral.  This is an optional component and not part of the standard module.

The Vehicle Maintenance Repair module provides archiving for cancelled and completed SRO.  These archived records are available to view & print.

Status Reports and Lists

Equipment Lists - this series of reports lists equipment being maintained by the VMR Module.  Lists are constructed by vehicle number, by agency, by name, by ownership category, by class, by license expiration date, and by other keys.

Organization List - lists the vehicles by the agency or organization to which it is assigned.  It also shows the contact at the agency to whom VMR reports maintenance problems or to whom the VMR goes for approvals.

Status Report - shows SRO by status code

Scheduled SRO Register by Shop - shows scheduled SRO completed, SRO that have come in and not completed for a particular shop.

Unscheduled SRO Register by Shop - shows unscheduled SRO that have come in and not completed for a particular shop.

Equipment Out-Of-Service Report - shows the number of maintenance days for a vehicle for a period.  Shows previous twelve months and how many days each month the vehicle has been in for maintenance.

Period Reports

Period reports give the operator the option to select any of the listed reports for any period - one or more days, one or more weeks, one or more years, or from the first date to the current date.  All period reports automatically collect data from both the active SRO file and the archive file.  Reports include:

 

Weekly Reports - shows by category, the number of incoming SRO, SRO completed, for scheduled and unscheduled maintenance.

Period Summary Report - by vehicle group code.

Period SRO History by Shop - provides full detail of each SRO.  Expanded version of the SRO Register by Shop; sorted by SRO number, then by vehicle number.

Period Turn-Around Report - lists SRO Awaiting Parts, showing how long a piece of equipment has been waiting for parts.  Sorted by SRO number, it list supply time (time waiting for parts), maintenance time (time waiting for labor), and deferred maintenance time (these deferred days are subtracted from the vehicle days within the shop).

Period Equipment Damaged Report - lists each vehicle for which a damage estimate was prepared, and shows the estimated cost and the actual cost, if work was done.

Period Summary Damaged Equipment Report - shows information of the number of estimates performed for the period.

Period Reimbursements Report - lists by agency, by vehicle, the revenue billed to that agency for the period by unit ID.

Period SRO History by Shop - lists, in SRO number, all work done, by shop.

Period Summary Report by Vehicle Number - shows labor and parts cost, total cost, and number of days in shop.

Period Report by Mechanic - shows amount of work each mechanic has recorded, showing standard and actual times.  This is a performance report.
